Job Description

Job Responsibility:

Transport Manager is responsible for overseeing the movement of goods and people from one location to another.

As a Transport Manager, you will demonstrate a comprehensive understanding of supply chain management and possess knowledge of warehouse procedures, including inventory management, order dispatching, and vehicle tracking using GPS and other tracking systems.

Your familiarity with safety protocols and legal regulations will ensure the smooth and secure handling of all shipments.

In this role, you will be responsible for optimizing the efficiency of our transportation operations while adhering to budgetary constraints.

Your attention to detail and strategic planning skills will be crucial in ensuring that our shipments are promptly delivered, safely handled, and cost-effective.

 

Key Responsibilities:

  1. Reporting: Report to Supply Chain Manager
  2. Planning and Supervision: Plan and supervise shipments, ensure upcountry trucks and route trucks load and leave the plant on time, and track orders to ensure timely delivery.
  3. Fleet Management: Oversee daily company vehicle maintenance, conduct inspections, and arrange repairs.
  4. Safety and Compliance: Ensure compliance with transportation regulations, safety standards, and company policies.
  5. Team Management: Lead and train transportation staff, including drivers and forklift operators. Conduct regular safety audits on equipment. Organize training sessions for employees (e.g. proper use of machines and handling of hazardous material)
  6. Budgeting and Cost Control: Monitor transportation costs, analyze expenditures, and develop plans to reduce costs.
  7. Customer Service: Handle customer complaints, resolve issues, and provide excellent customer service.
  8. Documentation: Ensure shipping documents are properly filed
  9. Policy Compliance: Ensure compliance with company policies and shipping legislation
  10. Safety: Stay up-to-date with safety regulations
  11. Prepare Reports: Prepare daily, weekly and monthly reports as per key performance indicators (KPIs)

Requirements and Skills:

  • Education: Bachelor’s degree in logistics, business management, Supply Chain, Logistics or relevant field is a plus.
  • Experience: At least 15 years of experience in transportation management, preparing and tracking orders or a similar role.
  • Knowledge: Solid understanding of transportation logistics, regulations, and safety standards.
  • Skills: Excellent organizational, communication, and problem-solving skills.
  • Ability to supervise and train staff
  • Problem-solving abilities

 

Key Performance Indicators (KPI):

  1. Operational Efficiency
  • On-time Delivery: Track and measure on-time-in-full (OTIF) delivery performance.

OTIF = (Number of shipments delivered in time/ Total number of shipments) × 100%.

Aim for 95% or higher.

 

  • Average Transit Time: Average time taken for deliveries to reach their destination from dispatch.

 

 

  • Truck Turn Around Time: Average time taken for deliveries to reach their destination from dispatch and back to the factory for reload.

 

 

  • Capacity Utilization: Measures how efficiently transportation resources are utilized.

CU = (Total weight or volume of cargo on a load / Total capacity of the vehicle) × 100%.

Aim for 75% or higher.

 

  1. Cost-effectiveness:

Analyze transportation costs and develop plans to reduce costs.

  • Freight Cost per Shipment: Average cost incurred to ship a single order or load.

 

ACI = (Total freight spend / Total number of shipments).

  • Transportation Cost per Unit: Assesses transportation resource utilization efficiency.

TCU = (Total Transportation Costs / Total Units Transported).

  • Maintenance Cost: Tracks maintenance expenses, including parts and labor, divided by fleet size.

MC = (Maintenance Expenses/Fleet Size)

 

  1. Safety Record

Monitor and improve safety records, including accident prevention and compliance with safety regulations.

Food Safety Compliance: Ensuring compliance with food safety regulations

  1. Service Quality
  • Claim Rate: Percentage of shipments resulting in damage or loss claims.

CR = (Number of shipments with claims / Total number of shipments) × 100%.

Aim for lowest possible rate.

 

  • Freight Invoice Accuracy: Percentage of accurate freight invoices.

FIA = (Number of error-free freight invoices / Total freight invoices) × 100%.

Aim for 95% or higher.

  1. Productivity and Sustainability
  • Fuel Efficiency: Measures transport driver’s ability to improve fuel efficiency numbers over time.
